Who Needs a Visa?
- Attendees from countries not included in Japan’s visa-exemption list must obtain a visa before traveling.
- Participants who require a visa to enter Japan for the conference should request an official invitation letter to support their visa application.
- The invitation letter confirms your participation and provides details of the conference but does not guarantee visa approval.
Visa-Free Entry (Short-Term Stay)
- Citizens of many countries (e.g., USA, Canada, UK, EU countries, Australia, Singapore, etc.) can enter Japan without a visa for 15–90 days for short-term business or conference attendance.
- Visa-free entry does not allow paid work.
How to Request an Invitation Letter
To request an invitation letter:
- Complete the invitation letter request form provided on this page.
- Ensure all personal and passport details are accurate and complete.
- After submission, you will receive a confirmation email with further instructions.
The invitation letter is typically issued in PDF format and can be used when submitting your visa application to the Japanese embassy or consulate.

- Proof of accommodation

How long does it take to receive the invitation letter?
The invitation letter will be issued within one to three business days after we receive your request. Invitation letters will be issued upon confirmation of registration and payment of the registration fee.
